Keepsake Books – Little Archive, Big Archive and Grand Archive
Last updated: 2026
Welcome to Chelsea and Co. These Terms and Conditions explain how our personalised keepsake book service works, including ordering, submitting your treasured items, book design, printing, postage and refunds.
By placing an order through our website, you agree to these Terms and Conditions. Please read them carefully before purchasing.
1. Our Keepsake Book Service
We create personalised, professionally printed keepsake books using photographs of your child’s original artworks, drawings, handwritten notes, certificates, achievements and other treasured items.
Our archive options are:
-
Little Archive: Up to 50 images.
-
Big Archive: Up to 100 images.
-
Grand Archive: Up to 200 images.
Each book is individually prepared using the images supplied or photographed for your order and arranged into a thoughtfully designed layout.
The image allowance refers to the number of pictures or images included in your selected package. Please contact us before ordering if you are unsure whether your collection will fit within your chosen allowance.
2. Placing an Order
Orders can be placed through our website. Please ensure your contact details and delivery address are correct when placing your order.
After your order is received, we will provide instructions for submitting your original items or photographs, as applicable.
Your order will be processed once the required items and information have been received. Delays in supplying your items or responding to necessary enquiries may affect the estimated completion date.
3. Sending Original Artwork and Keepsakes
We understand that childhood artworks, handwritten notes, certificates and other keepsakes can hold significant sentimental value.
If you choose to send original items, please package them carefully to help prevent damage during transit. We will take reasonable care when handling your items throughout the photography and design process.
However, postal services and handling can carry risks, and we cannot guarantee that original items will be protected from every possible loss or damage.
For particularly precious, delicate or irreplaceable items, we recommend sending your own photographs instead of the original pieces.
You are welcome to supply photographs of these items for inclusion in your book. This allows you to preserve the memories without needing to send the original keepsakes.
Please retain copies of any photographs you submit and keep a record of the original items you send.
4. Customer-Supplied Photographs
Customers may provide their own photographs of artworks, certificates, notes and other keepsakes, particularly where the original item is too delicate or valuable to send.
By supplying photographs, you acknowledge that:
-
You are responsible for ensuring the photographs are clear and suitable for reproduction.
-
Photographs should show the complete item wherever possible, with adequate lighting and minimal shadows or distortion.
-
The quality of the printed image depends partly on the quality and resolution of the photograph supplied.
-
Blurry, cropped, poorly lit or low-resolution photographs may not reproduce as clearly as expected in print.
We may contact you if an image appears unsuitable for printing. If a replacement image is unavailable, we will discuss the available options with you before proceeding where reasonably possible.
5. Ownership and Permission
You retain ownership of your original artworks, keepsakes and photographs.
By submitting an item or photograph, you confirm that you own it or have permission from the relevant rights holder to have it photographed, reproduced and included in your keepsake book.
You authorise us to photograph, reproduce, arrange and print the supplied material solely as reasonably necessary to complete your order.
Your submitted artwork and photographs will not be used for advertising, social media, promotional materials or other unrelated purposes without your separate permission, where required.
6. Book Design and Layout
Each keepsake book is individually designed to create a cohesive and attractive collection of your treasured memories.
The final layout may vary depending on the number, size, shape and orientation of the images and artworks supplied.
We aim to represent your items faithfully. However, some cropping, resizing or layout adjustments may be necessary to fit the book design.
Unless otherwise agreed in writing, the service does not include extensive image restoration, rewriting handwritten text, recreating missing artwork or digitally repairing damaged originals.
If you have a particular layout request or an important detail that must remain visible, please let us know before the design process begins.
7. Printing and Colour Variations
Your completed design will be professionally printed.
Although we take reasonable care to prepare images for printing, slight variations in colour, contrast, brightness and appearance may occur between original items, photographs, digital screens and the final printed book.
The appearance of printed images may also be affected by the lighting and camera used to photograph the original items.
Minor variations that are typical of the photography and printing process do not necessarily indicate a fault. However, this does not affect your rights under Australian Consumer Law if a product or service fails to meet the applicable consumer guarantees.
8. Pricing and Payment
All prices are displayed on our website in the currency stated at checkout.
Payment must be completed according to the payment options provided at checkout before your order is processed.
Any additional charges, including applicable postage or delivery fees, will be communicated before you are required to pay them.
If you request work outside the scope of your selected package, we will discuss any additional costs with you and obtain your agreement before proceeding.
9. Postage and Delivery
Customers are responsible for following the instructions provided for sending their original items to us.
The following arrangements apply to your order:
-
Postage to us: A postage envelope will be sent to the address provided on your initial order. This envelope will need to be filled with your chosen artworks, and returned to the address filled out on the pre-paid envelope. This postage is included in the cost paid for the archive product. This includes postage tracking but no insurance. If you wish to include insurance, this must be purchased at your own cost.
-
Return of original items: All original artworks will be sent back to the address provided on the initial order together with the printed memory keepsake book. This postage is free of charge and includes tracking.
-
Delivery of the finished book: The delivery of the finished book will be delivered to the address provided on the initial order. This will be sent with the original artworks in a tracked package.
Please package original items securely and follow instructions included on your delivery package. Where appropriate, consider insurance for valuable or irreplaceable items. Any instructions not followed is at the customers responsibility for the return of the original artworks.
Delivery timeframes are estimates and may be affected by postal delays, printing schedules and circumstances outside our reasonable control.
We will communicate any significant delays that become apparent.
10. Production Timeframes
Each keepsake book requires time for receiving and organising items, photography, image preparation, layout design and professional printing.
Approximate timeframes from start to finish of each memory keepsake book will be 4 weeks.
Timeframes begin once we have received all required items and information.
If delays occur, we will keep you informed and work with you to establish a revised timeframe where necessary.
11. Changes and Cancellations
If you need to change or cancel your order, please contact us as soon as possible.
Because each keepsake book is personalised, the stage of production may affect what changes can reasonably be made and what costs have already been incurred.
We will discuss any applicable costs or available options with you if work has already commenced.
Nothing in this section limits any cancellation, refund or other rights you may have under Australian Consumer Law or other applicable laws.
12. Refunds, Replacements and Consumer Rights
As each keepsake book is personalised, a change of mind after production has commenced may not entitle you to a refund in every circumstance.
However, we comply with our obligations under Australian Consumer Law.
If your book arrives damaged, or does not match the agreed description, please contact us promptly with your order details and photographs of the issue where possible.
Printing faults are the responsibility of the customer to approve the design correctly. All text and labels are to be checked and approved by the customer as Chelsea and Co will not take any responsibility of faults.
We will assess the issue and work with you to determine an appropriate remedy.
Depending on the circumstances and applicable law, you may be entitled to a repair, replacement, refund or other remedy.
Nothing in these Terms and Conditions excludes, restricts or modifies any consumer guarantee or other right that cannot lawfully be excluded, restricted or modified.
13. Original Items, Loss and Damage
We understand that the original items entrusted to us may be irreplaceable.
We will exercise reasonable care when handling, photographing and organising original items. Customers are encouraged to provide their own photographs of particularly delicate or sentimental pieces instead of sending the originals.
If an original item is lost or damaged while in our possession, please contact us as soon as possible so we can investigate the circumstances and discuss the available options.
Responsibility for loss or damage will be considered in accordance with the circumstances and applicable law. Nothing in these Terms and Conditions excludes liability where it cannot lawfully be excluded.
We recommend retaining digital photographs or copies of your most precious items before sending them.
14. Privacy and Personal Information
We collect and use customer information to process orders, communicate with customers, prepare keepsake books and arrange delivery.
Images and documents may contain personal information, including names, school details, certificates and other identifying information. Please consider this before submitting items.
We take reasonable steps to handle customer information and submitted materials responsibly and in accordance with applicable privacy obligations.
Your submitted images will be used to fulfil your order and will not be published or used for promotional purposes without your separate permission, where required.
Please refer to our Privacy Policy for further information about how personal information is collected, used, stored and managed.
15. Copyright and Reproduction
Customers are responsible for ensuring they have the necessary rights or permissions to submit artwork, photographs and other materials for reproduction.
We will use the supplied materials only as reasonably necessary to create and produce your ordered keepsake book, unless otherwise agreed or authorised.
The design, layout and other original elements created by us remain subject to applicable intellectual property laws. Purchasing a keepsake book does not automatically transfer ownership of our original design work.
16. Website Information
We aim to ensure product descriptions, images, pricing and package details are accurate.
Product photographs and mock-ups may be illustrative. The finished book may vary slightly in appearance due to differences in supplied images, screen displays and printing.
If there is a material change to your order or an issue that may affect the agreed product, we will communicate with you where reasonably possible.
